Scope and service agreements
These terms explain the permitted use of the MyPass365 website and its planning and preview tools, together with the Scanner and event-operator responsibilities below. Quotes, bookings, production specifications, event services, integrations and app access may be governed by separate written agreements or event rules. This page does not replace those agreements.
A website enquiry, downloaded brief or preview selection is not a confirmed booking, quotation, ticket, accreditation approval or grant of event access. Scope, price, timelines and responsibilities must be agreed separately.
Responsible use
Use the site and any authorised app access lawfully. Do not interfere with services, seek unauthorised access, misrepresent your authority or submit information you are not entitled to provide. Keep account details and credentials confidential. Event access remains subject to the organiser’s current permissions and rules.
Content and intellectual property
MyPass365 branding, design, text and software, together with third-party material, remain the property of their respective owners. You may view and share links to this site and use its event brief for a genuine service enquiry. Reproduction or commercial reuse of protected material requires the relevant permission unless permitted by law.
Event names and third-party marks identify experience or services and do not imply ownership or a wider endorsement. Generated concept artwork is illustrative and is not a photograph of a named project or proof of a released app feature.
Availability and accuracy
We aim to keep information useful and accurate, but services, specifications and availability may change. Confirm material requirements with MyPass365 before relying on them for an event. Preview or beta features may change and should not be treated as an operational service commitment.
We cannot promise uninterrupted access or that every external link will remain available. Report errors or accessibility difficulties to info@mypass365.com.
Scanner and event-operator responsibilities
An organisation using MyPass365 Scanner must establish a lawful and necessary purpose for any licence-identity collection, identify the relevant responsible party and operator roles, explain the collection before scanning, and provide the applicable event privacy notice and contact route. Only authorised staff may operate scanners or access identity records. These responsibilities apply alongside the agreed service arrangement and applicable law.
The organisation must respect the Skip licence path. Staff access-device scanning can continue without licence identity; separate permit or admission requirements must be communicated separately. Licence capture is not proof of document authenticity, a profile match or permission to enter.
The organisation must apply the 30-day licence-identity retention policy, restrict and record necessary security or authority disclosures, and ensure exports, third-party copies and incident handling follow the same obligations. Routine attendance reports and general exports must not include full identification numbers. Licence identity must not be used for marketing, unrelated profiling, general surveillance, unauthorised searches or disclosures.
Before enabling optional licence-identity collection operationally, MyPass365 and the organisation must confirm the applicable collection notice, lawful basis, service-provider and transfer arrangements, authorised access and reporting controls, and deletion across server records, reports and backups. Local Scanner cleanup alone does not establish those controls. The current implementation status is explained in the privacy policy.
Use of the service does not create blanket consent to collect or share personal information or remove either party’s obligations under POPIA or GDPR where applicable. Separate signed agreements remain subject to their agreed amendment process; publishing this page does not itself amend them.
Privacy and communications
Personal information is addressed in the privacy policy. Visiting the site or sending an enquiry does not by itself authorise unrelated marketing. The event brief is sent only if you choose to send it from your email application.
Liability and statutory rights
Website information and previews are general guidance about our offering. Any limitation of liability applies only to the extent permitted by applicable law and relevant agreed service terms. Nothing here excludes rights or liability that cannot lawfully be excluded, including applicable consumer and data-protection rights.

Law, questions and updates
South African law applies to these general website terms, subject to mandatory protections and rights that apply in another relevant jurisdiction. Applicable law determines the competent court or authority. If part of these terms cannot be enforced, the remaining provisions continue to apply to the extent lawful.
